This Refund & Cancellation Policy applies to all services offered under the brand names vroutesHR, vroutes, and vroots café, operated by Vroutes Strategic Consulting LLP (“Company”, “we”, “our”, “us”), through the website www.vrouteshr.com.

By engaging our services, making a payment, or signing a service agreement/proposal, you acknowledge that you have read, understood, and agreed to this policy.


1. NATURE OF SERVICES

Vroutes Strategic Consulting LLP primarily provides professional services, including but not limited to:

  • HR Operations Outsourcing

  • HR Business Partnering (White-Labeled)

  • HR Policies & Documentation Consulting

  • HR Compliance & HR Audit

  • Performance Management Consulting

  • HR Strategy & Advisory

  • Recruitment & Talent Acquisition

  • Business Consulting & Process Consulting

  • Training, workshops, and advisory services

Due to the customised, knowledge-driven, and effort-based nature of our services, refunds are governed by strict conditions.


2. GENERAL REFUND POLICY

  • All payments made are non-refundable, unless explicitly stated otherwise in a written agreement.

  • Refunds are not applicable once service delivery has commenced.

  • Any exception to this policy must be expressly agreed in writing by the Company.


3. RETAINER-BASED SERVICES

For monthly / quarterly / annual retainer engagements:

  • Retainer fees are non-refundable once the service period has started.

  • If the client chooses to discontinue services mid-cycle, no prorated refunds will be issued for the remaining period.

  • Services may be stopped at the end of the billing cycle with prior notice (as defined in the agreement).


4. PROJECT-BASED SERVICES

For one-time or milestone-based projects (e.g., HR policy drafting, HR audit, PMS design):

  • Payments made for projects are non-refundable once:

    • Work has started, or

    • Deliverables have been shared (partial or complete), or

    • Resources have been allocated.

  • If a project is cancelled before commencement, refund eligibility (if any) will be assessed on a case-by-case basis, after deducting:

    • Administrative charges

    • Consultation time

    • Resource planning costs


5. FREE SERVICES & PROMOTIONAL OFFERS

  • Free consultations, free trials, free HR training, or startup offers (including free services for companies with fewer than 5 employees) do not qualify for refunds, as no payment is collected.

  • Promotional pricing, discounts, or trial offers are non-refundable and non-transferable.


6. RECRUITMENT & TALENT SERVICES

For recruitment or staffing services:

  • Fees paid for sourcing, screening, or placement are non-refundable once candidate profiles are shared.

  • Replacement clauses (if any) are governed strictly by the Recruitment Agreement / SLA and do not constitute a refund.

  • No refunds will be issued for:

    • Candidate rejection after profile sharing

    • Candidate resignation beyond agreed replacement period

    • Hiring delays from the client side


7. TRAINING & WORKSHOPS

For paid training programs, workshops, or sessions:

  • Cancellations made less than 7 days prior to the scheduled date are non-refundable.

  • If cancelled earlier, refund eligibility (if any) will be decided after deducting administrative and preparation costs.

  • No refunds for:

    • No-shows

    • Partial attendance

    • Missed sessions


8. PAYMENT FAILURES & DUPLICATE PAYMENTS

  • In case of duplicate payments or technical payment errors, the excess amount will be refunded after verification.

  • Refunds (if approved) will be processed to the original mode of payment only.

  • Processing time may take 7–14 business days, depending on banking channels.


9. SERVICE DISSATISFACTION

We are committed to service quality.
If you are dissatisfied:

  • Please notify us in writing at hr@vrouteshr.com within 7 days of service delivery.

  • We will review concerns and may offer:

    • Clarifications

    • Revisions

    • Additional support

    • Service correction

Dissatisfaction alone does not qualify for a refund, unless a written agreement explicitly provides otherwise.


10. FORCE MAJEURE

No refunds shall be applicable for delays or non-performance caused by events beyond our control, including but not limited to:

  • Natural disasters

  • Government actions

  • Pandemics

  • Internet or infrastructure failures

  • Legal or regulatory changes


11. TERMINATION BY COMPANY

If the Company terminates a service due to:

  • Client non-cooperation

  • Non-payment

  • Breach of agreement

  • Misuse of services

No refunds will be applicable.


12. GOVERNING LAW

This Refund & Cancellation Policy is governed by the laws of India.

All disputes shall be subject to the exclusive jurisdiction of courts in:
